When I Work Cookie Notice
Last Updated: December 18, 2025
We use cookies, pixels, and other similar technologies (collectively, “cookies”) to recognize your browser or device when you interact with us. This Cookie Notice supplements the When I Work Privacy Policy, and explains how and why we use cookies and the choices you have.
1. WHAT ARE COOKIES
A cookie is a small data file that is placed on the hard drive of your computer or device when you visit certain online pages. Cookies may be used to record your preferences and actions, monitor site traffic, improve services and make services easier and/or relevant for your use. They are unique to your account or your browser.
Cookies created and set by the website owner (in this case,When I Work) are called “first party cookies.” Cookies created and set by parties other than When I Work are called “third party cookies.”
Session-based cookies last only while your browser is open and are automatically deleted when you close your browser. Persistent cookies last until you or your browser delete them or until they expire.
2. HOW DO WE USE COOKIES?
When you visit or interact with When I Work sites, apps, and services, we may use session-based and persistent cookies, including those set by third parties, for a variety of purposes.
- Essential cookies. These are necessary to help keep our sites and services working correctly, enable you to use and access them, detect and prevent fraudulent activity, and improve security. They are usually only set in response to actions made by you, and cannot be switched off in our systems.
- Functional cookies. We use cookies to recognize you when you sign in to use our services, keep track of your specified settings and preferences, and deliver content relevant to your interests on our services. This allows us to remember your log-in state, provide you with recommendations, display personalized content, and provide other customized features and services. It also allows us to honor your likes and dislikes, such as your language and configuration preferences. If you do not allow these cookies, some or all of these services may not function properly.
- Analytics cookies. We also use cookies to monitor and analyze the performance, operation, and effectiveness of our services and ads. This allows us to understand how customers use our services so we can make improvements.
- Advertising cookies. We use cookies to understand how well our online advertising works, and deliver more targeted online advertising and marketing campaigns. These cookies perform functions like preventing the same advertisement from continuously reappearing, ensuring that advertisements are properly displayed and, in some cases, selecting advertisements that are based on your interests.
Approved third parties, such as search engines, providers of measurement and analytics services, social media networks, and advertising companies, may also set cookies when you interact with When I Work services. These third parties use cookies in the process of delivering ad content, including ads relevant to your interests, to measure the effectiveness of their ads, and to perform services on behalf of When I work. The information collected through these cookies does not enable us or them to identify your name, contact details or other personally identifying details unless you choose to provide these.
In particular, we use Google Analytics, a web analytics service provided by Google. Google’s ability to use and share information collected by Google Analytics about your interaction with our services is subject to the Google Analytics Terms of Use and the Google Privacy Policy. You have the option to opt-out of Google’s use of cookies by visiting the Google advertising opt-out page or the Google Analytics Opt-out Browser Add-on.
In addition, we or our marketing partners may place web beacons in marketing emails that notify us or our partner when you click on a link in the email that directs you to our sites. We use web beacons to understand usage and marketing campaign effectiveness, and to operate and improve our website, services, and email communications.
3. WHAT THIRD PARTY COOKIES DO WE USE?
You can find a list of the third-party cookies that we use on our sites and services along with other relevant information in our cookie tables at the bottom of this page.
4. HOW YOU CAN MANAGE COOKIES?
- Cookie preferences Our cookies allow you to take advantage of some of When I Work sites’ essential and useful features. Blocking some types of cookies may impact your experience of our sites. You can change your preferences with respect to any non-essential cookies at any time via Cookie Preferences.
- Browser settings. You can manage browser cookies through your browser settings. The ‘Help’ feature on most browsers will tell you how to remove cookies from your device, prevent your browser from accepting new cookies, how to have the browser notify you when you receive a new cookie, how to disable cookies, and when cookies will expire. Check the support site for your browser to understand privacy settings available to you.
If you block or reject some of our cookies through your browser’s settings, you might not be able to use certain offerings that require you to sign in to an account and some features and services may not work. You might also have to manually adjust your preferences or settings every time you visit When I Work sites. If your browser includes Intelligent Tracking Prevention (ITP), preferences specific to our sites may reset on an ongoing basis. These resets are managed by your browser, not by us.
- Device settings. Use your mobile device settings to control how data about your use of applications is used for purposes of showing ads that are targeted to your interests. For example, on your iOS device, enable the “Limit Ad Tracking” setting, and on your Android device, enable the “Opt Out of Ads Personalization” or “Opt Out of Interest-Based Ads” setting.
- Advertising choices. You can also manage third party advertising preferences for some of the third parties we work with to serve advertising across the Internet by utilizing the choices available at www.networkadvertising.org/managing/opt_out.asp and www.aboutads.info/choices. We do not guarantee that all of the third parties we work with will honor the elections you make using those options, but we strive to work with third parties that do.
For individuals located in the EEA, UK and Switzerland, additional information on how our advertising partners allow you to opt out of receiving ads based on your web browsing history is available via the European Interactive Digital Advertising Alliance at www.youronlinechoices.com.
